Introduction — What is Scooty ERP?

Scooty ERP is a complete management system built specifically for electric and petrol scooter dealerships. It replaces paper registers and scattered spreadsheets with one connected system that tracks every scooter individually — from the moment it arrives at your showroom on a purchase order, through sale, service, and insurance renewal.

What makes this different from a normal inventory app?

Every single scooter is tracked by its Chassis Number — not just as a quantity count. This means at any time you can search one chassis number and instantly see:

  • Which branch it is currently in, and whether it is In Stock, Sold, in Service, or Damaged
  • Its battery serial number and warranty status (for electric scooters)
  • Its insurance policy number and expiry date
  • Its RC (Registration Certificate) and HSRP (number plate) status
  • Its complete history — every event from the day it arrived to today

Getting Started — Logging In

Your showroom's web address

Every showroom (company) using Scooty ERP has its own unique web address, in this format:

scooty.abdurrahimkhan.com/your-showroom-name

Your specific link and login username/password are provided by your system administrator when your account is created. Save this link — you will use it every day.

Logging in

  1. Open your showroom's link in any web browser (Chrome recommended, works on mobile too)
  2. Enter your Username and Password
  3. Click Login — you will land on the Dashboard
TIP

Bookmark your login page or add it to your phone's home screen for quick access.

Never share your login password with anyone outside your showroom. If you suspect it is compromised, ask your Admin to reset it immediately from Settings → Users.

Forgot your password?

Passwords cannot be recovered by yourself — ask a staff member with the Admin role to go to Settings → Users and create a new password for your account, or reset their own from the same screen.

Dashboard Overview

The Dashboard is the first screen you see after logging in. It gives you a complete snapshot of your business for the day, without having to visit any other page.

Subscription banner

If your subscription is expiring within 7 days, or has already expired, a colored banner appears at the very top of the Dashboard with a Renew Now button that takes you straight to the Billing page.

Quick Actions bar

Shortcut buttons at the bottom of the Dashboard let you jump straight to Reports, Reminders (with a badge showing how many are due), and a Send Today's Summary button that opens WhatsApp with a ready-made message containing the day's sales, collections, expenses and cash closing — perfect for owners who want a daily update without opening the software.

TIP

Set your WhatsApp number under Settings → Company Info first, so the "Send Today's Summary" button knows where to send it.

Inventory Management (Chassis-Based Stock)

This is the heart of Scooty ERP. Unlike simple stock-counting apps, every physical scooter you own is tracked individually by its Chassis Number, from the day it arrives until the day it is sold (and beyond, for warranty/service history).

Step 1 — Add a Model to your Catalog

Before you can bring any stock in, you first need to define the "model" — e.g. "Ather 450X" or "TVS iQube". This is a one-time setup per model, not per unit.

  1. Go to Inventory from the left menu
  2. Click the Model button (top right)
  3. Fill in: Model Name, Brand, Power Type (Electric / Petrol / Hybrid), Category, Purchase Price, Selling Price, and any Specifications
  4. Click Save Model
TIP

The badge next to the Model button (e.g. "2 / 200") shows how many models you've used out of your plan's limit. If you hit the limit, an "Upgrade Plan" button appears instead of Save.

Step 2 — Bring Stock In (Chassis Entry)

Once a model exists, you record actual physical scooters arriving at your showroom:

  1. Click Stock In (Chassis) (green button, top right)
  2. Select the Model and Branch
  3. Enter the unit purchase price, purchase date, and any notes
  4. For each scooter, add a row with its Chassis Number, Engine/Motor Number, and Color
  5. Click Add to Stock

Chassis numbers must be unique. If you accidentally enter one that already exists in your system, that row is automatically skipped and the rest are still added — you'll see a message telling you which ones were skipped.

You can also bring stock in directly from a Purchase Order — see Section 5. That method is preferred because it also tracks what you owe your supplier.

Searching and viewing a scooter's full profile

Type any chassis number into the search box at the top of the Inventory page (or click any row in the table) to open its full detail card. This is the single most useful screen in the whole system — everything about that one scooter, in one place:

At the top you see the core Scooter details (model, type, color, engine number, branch, status, and price). To the right, the Battery section (for electric scooters only) and Insurance section — both start empty and have a "+" button to add details as they become available.

Scrolling down reveals RTO/Registration status, any Accessories fitted, and a complete History log — a timestamped record of every event this chassis has ever had. At the very bottom are quick action buttons: Send to Service, Back In Stock, and Mark Damaged.

Adding Battery, Insurance, Accessories & Registration details

Every field you fill in here also becomes visible to your customer on their own self-service tracking page — see Section 16.

Battery Warranty Claims

If a battery develops a fault, click the small pencil icon next to Claim Status inside the Battery section. You can set the status to Filed, Approved, Rejected, or Replaced, along with a date and a note (e.g. an OEM ticket number) — useful for tracking claims with the manufacturer over weeks or months.

Filtering and Stock Summary

Use the filter bar (Brand, Color, Type, Branch, Status) to narrow down the list. Click Stock Summary to see a quick count of how many units of each model are currently In Stock, grouped by branch.

Purchase Management

This module handles ordering stock from suppliers and formally receiving it — the recommended way to bring new scooters into your system.

Creating a Purchase Order (PO)

  1. Go to Purchase from the left menu
  2. Click New Purchase Order
  3. Select the Supplier (or click "+" to add a new one on the spot)
  4. Select the Model and Branch this order is for
  5. Enter Quantity and Unit Price — the total is calculated automatically
  6. Click Create Purchase Order

The PO is now saved with status "Ordered" and 0 units received.

Receiving stock against a PO

When the supplier's truck actually arrives with the scooters:

  1. Find the PO in the list and click Receive
  2. Enter the Chassis Number (and optionally Engine Number, Color) for each scooter that has physically arrived
  3. Click Confirm Receive
TIP

You don't have to receive the full order at once. If you ordered 10 and only 6 arrived today, receive those 6 — the PO status becomes "Partially Received" and you can receive the remaining 4 later when they arrive.

Every chassis received this way is automatically added to your Inventory with status "In Stock", linked to that supplier — so Accounts → Supplier Dues can track what you owe them.

Paying your supplier

Purchases are not automatically marked as paid. Go to Accounts → Supplier Dues to record a payment against a specific PO or as a general payment to that supplier — see Section 8.

Sales Management

Every sale in Scooty ERP is made against specific chassis numbers you actually have in stock — you cannot accidentally sell a scooter twice, or sell one that doesn't exist.

Making a new sale

  1. Go to Sales from the left menu and click New Sale
  2. Select the Customer, or leave as "Walk-in Customer" if they're not registered yet (or click "+" to add them)
  3. Select the Model @ Branch — this shows how many units of that model are currently in stock at each branch
  4. Tick the checkbox next to each Chassis Number you are selling (you can sell more than one at a time)
  5. Enter the Unit Price, any Discount, and Tax % — the Total updates automatically
  6. Choose Payment Method and Payment Status (Paid / Pending / Partial)
  7. Click Complete Sale

The invoice number is generated automatically. Once the sale is completed, every chassis you sold is instantly marked "Sold" and disappears from available stock — and a printable Invoice is generated showing the model, chassis number, battery serial (if EV) and price for each unit sold.

Recording a payment on a Pending/Partial sale

If a customer didn't pay in full at the time of sale, find that invoice in the Sales list and click the 💰 (Record Payment) button. Enter how much they're paying now — the system automatically updates the invoice to "Partial" or "Paid" depending on how much is left.

Cancelling a sale

Mistakes happen. Click the 🚫 (Cancel) button on any completed sale to cancel it — every chassis linked to that invoice is automatically returned to "In Stock" so it can be sold again, and the invoice is marked Cancelled.

Cancelling a sale does not automatically refund any payment already recorded — handle money refunds manually and outside the system.

First Free Service — automatic

The moment a sale is completed, Scooty ERP automatically schedules a "1st Free Service" reminder 30 days later for every unit sold. You don't need to do anything — it will appear in Reminders (Section 9) when it becomes due.

Service Management

Track every repair, maintenance visit, and warranty job — with itemized billing so customers know exactly what they're paying for.

Creating a new service ticket

  1. Go to Service from the left menu and click New Service
  2. Type the Chassis Number and click the search icon — this auto-fills the model and, if it was sold through this system, the customer's name too
  3. Select the Service Type (Repair, Maintenance, Battery Replacement, etc.)
  4. If this job is fully covered under warranty, tick "This is a Warranty service"
  5. Enter the Issue Description, assign a Technician, and set the Status
  6. Click Create Service

If the unit was "In Stock" when sent to service, its status automatically changes to "Service" and it's temporarily unavailable for sale until the ticket is completed or cancelled.

Itemized billing

Click the 🧾 (Bill Items) button on any service ticket to add individual line items:

  1. Choose type: Part or Labor
  2. Enter the item name, quantity, and unit price
  3. Tick "This item is warranty-covered" if the customer shouldn't be charged for it
  4. Click Add

The system keeps two running totals: the Total Bill Value (everything) and Customer Payable (only the non-warranty items). If you tick "Whole ticket is Warranty" at the top of the billing screen, Customer Payable automatically becomes zero regardless of individual items.

Completing a service

Update the ticket's status to Completed once the work is done. This automatically:

  • Returns the scooter's inventory status back to "In Stock" (if it was there before)
  • Schedules the next Periodic Service reminder (based on the interval set in Settings — default 90 days)

Accounts (Cash Book, Expenses, Dues)

The Accounts module is your showroom's complete ledger — money coming in, money going out, and who owes whom.

Daily Cash Book

Pick any date to see:

  • Opening Balance — automatically carried forward from all prior collections minus all prior expenses
  • Collections — every customer payment received that day
  • Expenses — every expense logged that day
  • Closing Balance — opening + collections − expenses
TIP

This means you never have to manually calculate an opening balance — the system does it from your full payment history.

Adding an expense

  1. Go to Accounts → Expenses tab (or click Add Expense from the Cash Book tab)
  2. Choose a Category (Rent, Salary, Electricity, Transport, Marketing, Maintenance, Office Supplies, Other)
  3. Enter the Amount, Branch (optional), Date and a Note
  4. Click Save Expense

Customer Dues

Lists every invoice that is not fully paid, with the amount due. Click 💰 to record a payment, or the WhatsApp icon to send a ready-made payment reminder directly to that customer.

Supplier Dues

Lists every purchase order that you haven't fully paid for. Click Record Supplier Payment, choose the supplier and (optionally) which specific PO the payment is against, and save.

Reminders (Insurance & Service Due)

This page automatically surfaces everything that needs your attention soon, so nothing falls through the cracks.

Insurance Renewals

Shows every active insurance policy expiring within 30 days (or already expired), sorted soonest-first, with the customer's name and a one-click WhatsApp button that opens a pre-written renewal reminder ready to send.

Service Due

Shows every scooter due for its 1st Free Service or a Periodic Service within the next 15 days (or overdue). Each row has a WhatsApp reminder button, and a ✕ button to mark it "Skipped" if the customer says they'll service it elsewhere.

TIP

Service due dates are created automatically — 30 days after every sale (1st Free Service), and again after every completed service (based on your Service Interval set in Settings, default 90 days). You never need to create these manually.

Customers

A complete contact book of everyone who has bought from you, with their full financial history in one click.

  1. Go to Customers from the left menu to see the full list, with total sales count and any due amount per customer
  2. Click Add Customer to register a new one manually — or they get added automatically the first time you make a sale for them
  3. Click any customer's name (or the 📖 icon) to open their Ledger — total purchased, total paid, total due, full purchase history, and a WhatsApp due-reminder button if they owe money
TIP

A customer can only be deleted if they have no sales history — this protects your records from accidental data loss.

Suppliers

Your vendor contact book, mirroring the Customers module.

  1. Go to Suppliers to see the list, with total purchase orders and any amount you owe them
  2. Click Add Supplier to register a new one — or add them on the fly from the Purchase page
  3. Click the Due badge on any supplier to jump straight to Accounts → Supplier Dues

Reports

Go to Reports from the left menu to view and export data on sales, revenue trends, and inventory. Use the Export button (available on Sales and Purchase pages too) to download data as a CSV file for further analysis in Excel or Google Sheets.

Settings (Company, Branches, Users)

Company Info

Update your showroom's name, phone, email, address, GST number, currency, logo, and two special fields:

  • Owner's WhatsApp Number — enables the Dashboard's "Send Today's Summary" button
  • Service Interval (days) — how often periodic service reminders repeat after the 1st free service (default 90 days)

Branches

Add every physical showroom location you operate from. Each branch tracks its own inventory and can be assigned its own staff.

  1. Go to Settings → Branches tab
  2. Fill in Branch Name, Manager, Phone, Address
  3. Click Add Branch

Your subscription plan limits how many branches you can add. If you hit the limit, an "Upgrade Plan" button appears instead of the Add Branch button — see Section 14.

Users (Staff Accounts)

Create a login for every staff member instead of sharing one password.

  1. Go to Settings → Users tab
  2. Fill in Username, Password (minimum 6 characters), Full Name, Role, Branch, Email
  3. Click Add User

User limits are also enforced per your subscription plan, the same way branch limits are.

Billing & Subscription

Go to Billing from the left menu to manage your subscription.

Checking your subscription status

The top banner shows your Current Plan and how many days remain until your subscription ends (or how many days overdue if it has expired).

Paying for your subscription (UPI)

  1. Select the plan you want to pay for
  2. Scan the displayed UPI QR code (or use the UPI ID shown) to pay from any UPI app
  3. Enter the UTR / Transaction Reference Number from your payment app
  4. Optionally attach a screenshot of the payment as proof
  5. Click "I've Paid — Submit for Confirmation"

Your payment now appears as "Pending" in your Payment History. The platform administrator manually verifies it and confirms — usually within a few hours — after which your subscription is automatically extended and your plan updated.

TIP

If you don't hear back, use the "Notify Support on WhatsApp" button on the Billing page to send a direct message.

What happens if you don't renew in time

Starting 7 days before expiry, a warning banner appears on your Dashboard. If your subscription lapses completely, your account moves to "Expired" status and access is paused until a payment is confirmed.

Plan limits

Every subscription plan has limits on how many Branches, Users, and Scooter Models (products) you can have active at once. You'll see a live usage badge (e.g. "3 / 5 Used") wherever these are managed, and an Upgrade Plan button appears automatically the moment you reach a limit.

Switching Languages

Click the 🌐 language dropdown at the top of any page (next to your subscription status badge) to switch the menu and common labels between English, Bangla (বাংলা), and Hindi (हिंदी). Your choice is remembered for your login session.

TIP

This is especially useful for counter staff who are more comfortable reading Bangla or Hindi than English.

Customer Self-Service Tracking Page

Every showroom gets a free public page where your customers can check their own scooter's status — no login required, and no sensitive business data (like prices you paid or profit) is ever shown.

Frequently Asked Questions

Q: I sold a scooter but selected the wrong chassis. What do I do?

Go to Sales, find that invoice, and click the 🚫 Cancel button. The wrongly-sold chassis returns to "In Stock" automatically, and you can create a fresh, correct sale.

Q: A duplicate chassis number was rejected when I tried to add stock — why?

Chassis numbers must be unique within your showroom. This is a safety feature to prevent the same physical scooter being entered twice. Double-check the number on the scooter itself.

Q: Why can't I add a new branch / user / model?

You've reached your subscription plan's limit for that item. An "Upgrade Plan" button will appear — click it to go to Billing and pay for a higher-tier plan.

Q: How do service due reminders get created — do I have to set them manually?

No. They're created automatically: 30 days after every sale (1st Free Service), and again every time a service ticket for that chassis is marked Completed (based on your Service Interval setting).

Q: Can a customer see how much profit I made or what I paid my supplier?

No. The public Track page (Section 16) only ever shows customer-safe information — never purchase prices, profit margins, or your supplier's details.

Q: What happens to my data if I don't renew my subscription?

Your data is never deleted for non-payment. Access is simply paused (status becomes "Expired") until a payment is confirmed — everything resumes exactly where you left off.
